About the job

You'll help keep product moving from our brands' factories to the shelves of the UK's best luxury retailers, and make sure it arrives on time, complete and correctly booked in. This is a hands-on role sitting between our brands, our warehouse, our carriers and our retail partners. It's office-based: our warehouse team handles the physical receiving, packing and dispatch, and you make sure they have everything they need. Filthy Brands is a specialist niche fragrance and beauty sales agency based in Soho, London. We represent emerging brands across Selfridges, Liberty, Harrods, Harvey Nichols, Sephora, Space NK, John Lewis and Cult Beauty, and in markets abroad. Our brands rely on us to get their stock where it needs to be, and our retail partners rely on us to make that seamless. Inbound shipments and customs

  • Manage inbound shipments from brands into the UK, including booking and tracking with our carriers.
  • Coordinate customs clearance, import paperwork and KYC with brands and freight partners, and chase delays quickly.
  • Keep a clear record of where each brand's goods ship from and how they travel. Retailer bookings and fulfilment
  • Book deliveries into each retailer to their requirements, using retailer portals such as THG Procure.
  • Follow every order through to the retailer's door, chase anything that stalls and keep account managers informed.
  • Maintain the deliveries and bookings tracker across all brands and retailers, including international shipments for our Global Markets brands. Order processing
  • Process incoming retailer and distributor orders, checking pricing, quantities and delivery requirements.
  • Raise pick and dispatch instructions for the warehouse and confirm what has shipped.
  • Match orders to invoices and flag any discrepancies to the account team and accounts. Working with the warehouse
  • Be the warehouse team's single point of contact in the office, sharing what is arriving and what needs to go out.
  • Keep the shipment tracker and master packing list accurate and current.
  • Plan tester requirements for retail partners, and brief the warehouse to fulfil them. Inventory and forecasting
  • Gather sales data from each brand, including D2C, and help build stock forecasts by quarter.
  • Flag stock risks early so brands can produce and ship in time. Brand SLAs and process
  • Track each brand against agreed service levels, for example 48 hours to advise on out-of-stocks.
  • Keep our operating matrix up to date and make sure brands and our team work to it. Claims and admin
  • Handle damages, shortages and credit notes with brands, carriers and retailers. Essential
  • 1–2 years in logistics, supply chain or retail operations, ideally in beauty, fragrance or luxury goods.
  • Some experience with UK import, customs clearance and freight forwarders.
  • Experience booking deliveries into major UK retailers and working to their compliance requirements.
  • Strong spreadsheet skills, and comfortable building a simple stock forecast from sales data.
  • Organised, persistent and calm when chasing stock across several time zones.
  • Clear communicator with brands, carriers and retail buyers alike. Desirable
  • Experience in an agency or distributor representing multiple brands.
  • Knowledge of EU and international shipping, including post-Brexit paperwork.
  • An eye for tidying up processes and trackers so they run smoothly. Hours: Full-time, Monday to Friday ( Hybrid) Salary: To be confirmed, depending on experience Start date: As soon as possible
